Customize System Workflows to handle different administrative and auto-response tasks

System Workflows are important administrative pieces of your Gloo account that will help you manage what happens when people text in for the first time, send in prayer requests, or send a message the system does not know how to respond to.

Note: System Workflows replace several of what Gloo used to call Automations and Customizations.

To get to System Workflows, just navigate to Messaging -> Workflows and click on System Workflows. The content of each System Workflow can be customized by clicking on the title of the Workflow. Some can be toggled on and off, but others must stay on.

Onboarding

This System Workflow controls what happens when a new person texts into your Gloo phone number for the first time. You can set up a message to welcome them to your church and confirm receipt of their message. This will only trigger when someone texts in from a number that Gloo does not recognize.

As part of the onboarding process, Gloo will ask people for their full name so it can create a profile for them. The system will always add a question to the end of your text asking for their name- there is no need for you to write this portion.

This Workflow must remain on and cannot be toggled off.

Onboarding Complete

Once someone has texted in for the first time and responded with their name, you can send a final text back to them.

This System Workflow will be on by default, but can be toggled off if you choose by clicking the 3 vertical dots to the right of the Workflow and selecting Turn Off.

Prayer Received

Whenever someone submits a Prayer Request, they will automatically receive a response from the system to let them know their request was successfully submitted.

This System Workflow will be on by default, but can be toggled off if you choose by clicking the 3 vertical dots to the right of the Workflow and selecting Turn Off.

Prayer Response

The Prayer Response Workflow lets you write a simple response that can be sent to people when their requests are prayed for. The system does not automatically send this out- rather, when a Gloo team member marks a prayer request as prayed for, this can be used to send back a simple response.

Since the system does not automatically send this out until a team member marks a request as prayed for, it is always on and cannot be toggled off.

Unresolved

This text is automatically sent in response to a message that the system doesn't know how to handle. This means that the text was not a keyword used to activate a Workflow, or a prayer request, or anything else you have set up a default response for. These messages are always given the "Needs Response" status in your inbox, since they likely require a Gloo team member's individual response.

This System Workflow will be on by default, but can be toggled off if you choose by clicking the 3 vertical dots to the right of the Workflow and selecting Turn Off.
